Keep this information sheet as a reference on travel days. Post it on your family memo board or refrigerator.
Travel arrangements are the responsibility of each individual volunteer. If you have questions or concerns while making your travel arrangements, please call the Landmark Volunteers office at 413-229-0255.
The travel form requires parent signatures, and it must be returned to the Landmark office before the deadline date stated on your invoice.
Making your travel arrangements:
A Landmark representative can only meet the volunteers at the designated airport or car arrival location during the times stated on the travel form. Should a family choose another form of transportation, it is the family’s responsibility to make arrangements for the volunteer to arrive at the designated airport or car arrival location as specified on the travel form.
In the case of last minute travel problems, it is the family’s responsibility to get their child to the program.
If the volunteer’s travel arrangements change once you have returned the travel form, please notify the Landmark office in writing. You may email those changes to admissions@volunteers.com or fax them at 413-229-2050, or mail them to PO Box 455, Sheffield, MA 01257.
If you are traveling by air:
- Use only the designated airport. Some programs are several hours away from airport. For this reason the window of arrival and departure is firm.
- Arrival: Landmark will have a representative meet the volunteers at the baggage claim area and transport them to and from the site at the noted times only. If a volunteer should arrive or depart outside the listed window of time, it is the responsibility of that volunteer to make arrangements to and from the site.
- Departure: On departure, a Landmark representative will take the volunteers to the airport ticket counter for check in. Once the volunteer has passed through the security checkpoint, travel is out of the control of Landmark Volunteers, Inc., and the representative's responsibility ends at that time. The remainder of the trip home is the responsibility of the family. Landmark Volunteers suggests that parents, or another adult of the parents' choosing, be available by phone during the time that the volunteer is flying.
Day of Travel:
If flights are delayed or cancelled, please do the following in this order:
- Call the Community Coordinator and alert them to the change (the name and phone number of the Community Coordinator for your program is included in the information packet).
- Page the Team Leader at the airport where they were to meet the volunteer. We recommend researching the phone number of the airport BEFORE the day of travel.
- If a flight was cancelled, make the necessary arrangements for your volunteer to arrive at the designated airport. Report the new arrangements to the Team Leader and/or Community Coordinator, who will work with you to ensure your volunteer is met.
- Call the Landmark Volunteers office and report the new arrangements to the on call staff.
If you are traveling by car:
- Driving directions to the meeting place will be enclosed in the student information packet that you will be receiving prior to the start of the program.
- Driving arrival time is definite. Please arrive at the stated time. Do not arrive earlier or later as there will be no one to welcome you.
- Driving departure time is definite. Please be prompt in picking up your child. Landmark’s supervision of students who depart by car ends at the stated departure time.
- If a volunteer will be driving him or herself to the site, he/she is to give the car keys to the team leader upon arrival. The volunteer's car may not be used at any time during the program.
